The hidden administrative burden
Here's a statistic that might surprise you: Teacher administrative workloads have increased by approximately 90% since the introduction of the NDIS.
The NDIS has been transformative for students with disabilities—providing critical funding and support. However, no one anticipated the documentation burden this would place on schools and teachers. The work collecting the evidence needed to justify funding for individual students on Individual Education Plans (IEPs) is unsustainable.
Schools have been left to develop their own systems, scrambling to ensure they have sufficient evidence for NCCD compliance. The result? Teachers spend countless hours managing paperwork instead of teaching.
The Learning Support portal: Centralised IEP management
Within the ViVEDUS Planner, you'll find the Learning Support Portal—a dedicated space where your Learning Support Coordinator can create and manage student plans. This portal can only be accessed by the person/s assigned to the responsibility of creating IEPs.
Create plans with confidence
The portal includes a carefully designed template aligned to current legislation for:
- Individual Education Plans (IEPs)
- Student Learning Plans (SLPs)
- Imputed Plans
These templates ensure compliance while guiding administrators through the process of creating comprehensive, legally sound support plans.
Digital sign-off and export
Once an IEP has been developed, it can be:
- signed off by parents in App (no more printing, scanning or chasing signatures); and,
- exported as a PDF when needed for meetings or external providers.
The magic: Automatic push to teacher lessons
Once an IEP is signed off, something remarkable happens.
All current learner adjustments are automatically pushed directly to the relevant teacher's lesson planning window.
You don't see every adjustment for every student in the school. You only see the adjustments that are current for the students you're teaching in that specific year level and subject. This means no hunting through shared drives, no searching through email attachments, and no wondering if you're working from the most recent version of a student's plan.
Managing adjustments: Simple, visible, trackable
Accessing student adjustments
Click the blue "Learning Support" button at the top right of your lesson planning window. All relevant adjustments appear in the Learning Support panel.
Two types of adjustments
The system recognises two categories of adjustments:
- Constant adjustments: These are strategies that apply across all learning contexts (such as preferential seating, extended time, or simplified instructions). What you do: Simply acknowledge the constant requirement. The system tracks that you've seen and understood it.
- Contextual adjustments: These are subject-specific strategies that apply to particular learning areas. What you do: Tag where the adjustment is being addressed in your lesson with a simple highlight and click. For example, if a student needs special resources for mathematics, you'd highlight the section of your lesson where the resources are being used.
Automatic evidence collection
Here's the best part: all evidence is collected automatically.
No more:
- hunting for IEPs in filing cabinets, emails or shared drives;
- copying and pasting adjustment information into lesson plans;
- frantically collecting evidence when an NCCD audit is announced or the Business Manager needs the information for funding and budgeting;
- creating spreadsheets to track which adjustments you've implemented.
The system does this documentation work for you, in the background, as you teach.
Feedback loop: Supporting continuous improvement
When you're asked to provide feedback about how a particular student is progressing in your class, the process is seamless.
How to provide feedback
In the Learning Support panel, you'll find a "Monitoring Feedback" section.
- start typing the student's name and select them when they pop-up;
- type your feedback about their progress, challenges or successes;
- press Submit Feedback.
What happens next
That feedback is automatically filed with the student's record. Your Learning Support Administrator can access it immediately to:
- monitor student progress across subjects;
- identify patterns across subjects;
- make necessary adjustments to the IEP based on teacher observations.
This creates a continuous improvement cycle where student support plans evolve based on real classroom evidence—not just annual review meetings.
The ViVEDUS difference: Seamless, simple, stress-free
NCCD compliance and learning adjustments shouldn't add hours to your weekly workload. With ViVEDUS, the system works in the background, ensuring:
✓ You always have access to current student adjustments
✓ Evidence collection happens automatically as you teach
✓ Communication with Learning Support is streamlined
✓ NCCD audits become a non-event because documentation is already complete
The result? You spend less time on paperwork and more time doing what you do best—teaching students and making a difference in theirlives.
